Nexera is Poland's first wholesale telecommunications operator and one of the leading providers of multifiber. The company develops infrastructure mainly in digitally excluded areas, making it available to other operators (including Orange, T-Mobile, Play, Polsat Group, others). Nexera provides stable access to high-speed Internet and supports the expansion of modern telecommunications solutions in small towns and villages in 7 provinces (warmińsko-mazurskie, kujawsko-pomorskie, mazowieckie, łódzkie, opolskie, śląskie, świętokrzyskie).
Due to the dynamic growth and increasing scale of operations, there was a need to more effectively organize and manage the large collection of data and dispersed documentation, which are essential to effectively coordinate obligations, control payments, forecasts and optimize costs.
Scope
- Situation analysis and goal definition
We started the project by conducting an analysis of the client's current situation and identifying key document management challenges. Using GenAI technology (Gemini model), we processed more than nearly 30,000 formal documents, including location decisions, civil law contracts, other commitment documents for leased infrastructure. - Building a classifier and data extractor
Our team developed a document classifier that enabled automatic assignment of files to the appropriate categories (e.g., contracts, decisions, invoices). We created a data extractor tailored to the specifics of each document type, which allowed us to extract the most important information accurately. - Process automation and optimization
We designed and implemented a splitter that enabled efficient processing of scans containing multiple documents. Together with the client's team, we conducted validation workshops and implemented automatic data testing rules to ensure high data quality and consistency. In addition, we prepared and carried out data export in migration format to Nexera's internal systems. - Preparation of the environment for further development
Our team designed the system architecture, prepared for the future document management application, which will run in the Google Cloud Platform (GCP) environment. - Managing documents in the future
Our team built an application to capture and read data and documents to support the company's new document workflow processes.

Key results
- We processed nearly 30,000 documents in just 400 hours (vs. 2400h in manual mode), saving the client significant time and costs.
- Thanks to data extraction, Nexera gained control over contractual obligations - it became possible, for example, to keep track of expiring obligations or analyze rates and fees We reduced human error and the risk of paying for outdated obligations or the risk of incorrect fees.
